How To Install Mailbird

The New Mailbird Installers – Harder Better Faster Stronger

$

The new Mailbird Installers are out, and man are they cool.

Installers you say? Why plural?

Ah, I’ll get to that little bit of genius in just a sec (it’s tweak no. 4 if you’re in a rush). Let’s start at the top though.

What’s new and awesome with the new installer?

Tweak no. 1: Faster

14% faster to be exact. The new installer moves blisteringly fast, getting Mailbird installed, up, and running live within a few minutes (how many, exactly, depends on your internet connection…unless you use the Offline Installer).

With this faster tweak, we’re saving you time before you’ve even begun using Mailbird.

Tweak no. 2: Bug Free

Ah bugs. The bane of every software program, especially the betas.

The old Mailbird installer had a fair few of them. Sometimes, you wouldn’t notice them at all, and Mailbird would install perfectly. Other times….well, Mailbird wouldn’t install at all.

Not anymore, though. The new installer works seamlessly on any Windows computer, running on any hardware. No more problems, just a quick and clean install.

Tweak no. 3: Customizable

Our old installer was very hands off. It took care of the location of the files by itself, without bothering you about it.

The new installer still does…if you want it to. And now, if you’re more hands on, you have the option to tell it to save all Mailbird files wherever you want them saved, instead of the default.

Tweak no. 4: Offline Installation

Most of what the Mailbird Installer spends it’s time doing is downloading the Mailbird files from our server. This makes it easier to download the installer itself, since it’s so small.

But what if you’re internet connection isn’t so hot/is non-existant? Usually, that would mean no installation for you, sucker. It’ll just crash halfway through, if it even manages to start.

We’ve solved that problem too, though, with two installers. The regular installer you already know about. And now there’s the offline installer, which comes with all of Mailbird’s building materials already inside of it’s 26MB body.

Installing from the Mailbird Offline Installer will work no matter what your internet connection looks like.

So how do you go about installing it?

It’s a pretty simple set up. Just download the regular installer here, or the offline installer here, and you’re good to go.

If you want a step by step walk-through while you install Mailbird, here you go:

IMAP Support in Mailbird

IMAP Support in Mailbird

Mailbird now supports email providers that use IMAP. It is simple, all you need to do is:

  1. Download Mailbird Lite from the website first
  2. When the Welcome window shows type in your Name you want displayed in emails, your email address from an IMAP account like Yahoo.com, Outlook.com, Aol.com, etc., log in with your password for that account
  3. Hit the Connect button
  4. Mailbird may already have the email settings pre-filled for the email provider you use. If not you can simply Google Search “server settings for [enter name of IMAP email provider]” to get the server info. For example for Outlook.com as your IMAP email provider you would Google Search “outook.com imap smtp server settings”
  5. Fill out the appropriate server setting fields, test the connection until it is approved. You may have to  test the connection with a different encryption  like “SSL” or “TLS”.
  6. Voila! Give Mailbird some time for the first initial sync and you can start emailing away in class ;)

Should you have any questions or issues, don’t hesitate to contact us directly at support@getmailbird.com.

500+ Million More…Mailbird Launches IMAP Support

Finally, it’s out. Mailbird’s latest leap has just gone live as of Tuesday October 22, 2013 with full IMAP support.

Window’s fastest, easiest, and most productive email client just invited some new players to the Mailbird party like Outlook.com, Yahoo.com, iCloud, and much more. Many thanks for your patience and we are happy to announce that Mailbird is now open to you among millions of others globally, and no longer limited to Gmail or Google Apps account holders alone.

“Thanks for building such an awesome mail client! It’s increased my average response time by a very substantial amount!” – Tim Webber

So, what does the new IMAP functionality mean for you?

  1. If you used an IMAP supported email provider, it means that can now save at least an hour or more every week that you usually spend in your inbox. An extra hour a week to create something awesome, catch up on reading, hang with your friends, plan your next globetrotting adventure…or perhaps just catch some much needed Zzz.
  2. It means that the time you spend in your inbox is now less stressful than ever. No one likes waiting for a loading circle, even if it’s a fast one. And sifting through a messy and jumbled page with ads thrown in to find and reply to your emails is no fun at all. Mailbird removes all of these, so your inbox becomes a bit more zen.
  3. It means you get to be one of the first people in the world to experience our unique upcoming features. Wingman, Frequent Flyers, and our productivity boosting Birdhouse apps (including full Evernote integration, improved calendars, email list management apps, and more) will significantly boost your productivity.
  4. It means you get to use Mailbird for Free, forever! Mailbird Lite is forever free, and forever being improved. You’ll save hundreds of hours of your lifetime just by using it. You can also pre-order Mailbird Pro (which gives you 25% off for life), and save yourself thousands of hours for the 3-lattes-a-year price of $9/year.

“Super cool! Very intuitive – no learning curve! Pictures add intimacy and warmth that you don’t have with other email apps out there.” – Elitsa Dermendzhiyska

So how do you set up your Mailbird account with IMAP? First, download Mailbird Lite.

Now that you’ve got Mailbird, setting up IMAP takes less than 3 minutes. Here’s a quick video on how to set up IMAP Support in Mailbird.

“You did a great job making this awesome client, which is for now my personal #1 on Windows.” – Yulia Bakieva, Mailbird Beta Tester

So whats next? You’ve already guessed it haven’t you?

Mailbird’s next big upcoming feature is Multi-Account, which will come out in about a month.

We’re hardly just developing one feature at a time. Keep your eyes out for multi-language spell-checker, smart tips in the app to help you manage email faster (this will be mega helpful for those of you who are unaware of the many efficiency features in Mailbird), and the super exciting user-developed open-sourced Birdhouse Apps. Cool beans.

Tell us in the comments below what you think about Mailbird now that IMAP support is ready for testing in the beta. We look forward to connecting with you guys!

The Top 6 ways to Increase Productivity in your Business

When you talk to people all over the world about how they stay productive, the number 1 culprit of productivity issues is with their email. That is why Mailbird is building the most productive email client ever! I have had the pleasure of meeting many inspiring entrepreneurs who are so kind to willingly share their productivity hacks. A good friend of ours Tobias Schelle, Founder of 24slides shares a post about his toolbox for optimal productivity, read the post on Medium. Elaine Heney, CEO of Chocolate Lab Apps is another power house on productivity. She is also the best kind of work-a-holic you’ll ever meet. Below, Elaine shares with us her take on email and productivity.

I’ve spent the last month in Bali, co-working with an inspiring group of 25 successful entrepreneurs at Project Getaway. Our businesses are diverse – from cloud hosting solutions, to industrial manufacturing and mobile apps.

Regardless of the business type, working in Bali focused our collective minds on one major challenge – how to become more productive while having more free time to enjoy this beautiful island. Here are the top 6 ways I’ve increased my productivity as CEO of my mobile games company.

Rescue time

Install StayFocusd on your web browser and block the top three non-work related websites you spend the most time. My biggest time waster was facebook. While I was on some work related groups there, it was just eating into my time. Installing the StayFocusd plugin on my PC means that Facebook automatically closes after I spend max 5 minutes on it per day. Absolute genius. If you want to go one step further, delete the facebook app from your phone as well. Checking your facebook account for a few seconds on your phone while you have downtime is a total waste of valuable reflection time, especially when you think of how many times you check facebook ‘for a few seconds’ every day.

Build a team

There is just no way you can grow and company and enjoy your free time if you are doing all of the work yourself. Putting together a team, consisting of people with better skills than you (in my case app developers and graphic artists) is a great way to get more work done and to raise the quality of your products and services.

Get a virtual assistant

My VA has saved my life on numerous occasions. A virtual assistant can free up so much of your time, by taking over the repetitive, mundane, copy & paste tasks you find yourself doing every day. These tasks are often important for your business to keep growing. But that does not mean that you need to spend your time doing them if you can train someone else to do them. This has freed up at least 3 to 4 hours of my time every single day.

A VA is also a super resource to work on some small test or trial projects you have in your mind, but you don’t have the time to work on yourself. This can range from web research, to SEO to watching online courses for you that you don’t have time to view yourself, and then writing a short one page report on actionable items that can be implemented in your own business. Hiring a VA is something I recommend for every business regardless of the size or industry.

Outsource and automate your email

Email is wonderful – but email can eat up your time.  You can definitely mange your email to cut down on the time you spend on it. To begin, analyse what types of emails you are getting. Some may be customer support emails – without too much effort you can create templates with the most common questions, and either hire a VA to reply to these or put them up as a FAQ section on your website to reduce your emails.

Secondly, you can get a lot of personal emails looking for help, or from people trying to sell you their new products that you may not be that interested in. What I found really useful is on my contact page, I now advise people that my email address is only for product support. If they want to contact me directly, then they need to leave a comment on my blog and I promise to read all of these. This also cut down my email, while increasing my blog comments which was a great result.

Batch your email

I get tons of email a day. One really useful way I have with dealing with it is to batch it into two times per day. I check all email early in the morning and clear my inbox to zero. Then I close it, and reopen my email at about 4pm in the afternoon and catch up with everything again. This batching of work means I get through my email a lot faster, and I get quiet time to work on important projects for the rest of the day.

Hire a project manager

When you are the cog in the chain, you might be getting work done, but you can’t scale and you will find you end up working about 23 hours in every day. Hiring a project manager who can deal with your team, chase late deliveries and keep everything moving while sending you daily updates of the progress and of any issues, is a really effective way for you to use your time more efficiently.

I’m happy to report that in two weeks I’ve cut my working hours by half and am now well on my way to becoming the next Irish professional surfer after some great lessons here in Indonesia.

Life is for living, not for working 24 hours a day.

FINALLY…the moment we’ve all been waiting for.

Accessing Your Accounts

There are 2 types of account selectors. The first is hidden and the second is always expanded.

The default type of it is hidden.

In the default hidden account selector type, Mailbird will only show your selected account. If you want to access the other accounts, hover over your selected account, and your other accounts will show below your selected account.

The second setting keeps all accounts expanded, you can change this from Options > General, then check/uncheck “Always expand account switcher”

By checking the option to “Always expand account switcher”, you no longer need to hover over the active account to see all other email accounts. All of your accounts will be displayed by default.

The Evolution of Multi-Account in Mailbird

$

0

It takes a lot of time to design every little detail and program each and every feature and addition to the Mailbird experience. We thought it would be fun to share with you the different prototypes and designs for multi-account in Mailbird that many of you, especially our awesome alpha testers, were a big influence on.

In this a very fine process, we put the user perspective in the forefront when deciding on the most intuitive, productive and beautiful design with your email interaction. In the image below you can see our first idea for how multiple accounts would be displayed in Mailbird as a right expand bar when you mouse over the account icon. We quickly realized that this could get messy for heavy email users with more than eight accounts. Ideally, we also did not want to cover any part of the message list pane when switching between accounts.

Multi-account Design 1

We love the many positive quotes from supporters after multi-account went live like this one,

“Thank you so much for multiple mail accounts.  Great Thanksgiving gift.  :) Thank you.  I am very excited to hear about the upcoming cool features.  Considering what you guys have done already… the design and functionality, I have no doubt that you will continue to wow us.  I believe that you have an impressive design team.  Even your email signature here is impressive :) – Carlisle

Below we experimented with a little color in the multi-account design with icons and letters for distinguishing between multiple accounts from one email provider.

Multi-account Designs 2 – 11

“Mailbird is a game changer, thanks for creating it and always making it better. You are making my life easier!” - Paul A.

Here was the next round of designs for multi-account support where we are also experimenting with the size of icons and maintaining the current black/white/grey outline of simple icons to distinguish between accounts. We are also looking at how to indicate which account is active and whether or not to show the different accounts or to just show the active account.

Mailbird Multi-account Designs 12 – 20

“I love the client and have been looking for something like it that appeals to me for sometime, so I’m excited as it comes out of beta and to see all of the changes. With Multiple Account support, Mailbird is now my go-to for email. So thanks for the great product.” - Brian D.

Next batch we experiment and test different icon styles and shading and some with 3 letter text to distinguish again between different accounts from the same email provider. Here the idea was that a user could choose an icon that they would visually associate with individual accounts if they had five Gmail accounts.

Mailbird Multi-account Designs 21 – 28

Even at this point as we started to narrow down the design choice, we still had to determine whether to show all account icons or have them collapsible. We still had to test and determine the best options for distinguishing between different accounts from the same email provider. What about how we indicate which account is active? Do we highlight it? Put a circle around it? How bright should the account selection indicator be? Still lots to do and a few days before the big multi-account beta update was to go live.

Mailbird Multi-account Designs 29 – 39

“I didn’t know Mailbird previously but it’s a very nice surprise to discover such an amazing mail client under Windows. I used Thunderbird before but I definitely prefer Mailbird.” - Marc B.

The next design obstacle was how to show the different email accounts when the far left navigation bar is expanded? Some of you may not know that you can do this, but give it a try. Click and drag the far left navigation pane in Mailbird to the right to re-size it for the expanded view of your email accounts and folders.

Mailbird Multi-account Design 40

Finally we had to determine what elements needed to be in place when you want to either show all your email accounts or just the active account. Our discussion rested on how to handle which accounts were shown if a user had 2 accounts versus if they had 10 accounts. One idea was to keep the most recent 3 accounts used active if a user had more than 3 accounts. Below is the design planning and mock-up.

Mailbird Multi-account Design 41

The evolution to illustrate the design process for multi-account support in Mailbird.

41 designs, lots of planning for multi-account seven months after the beta went public, testing, fixes, feedback and adjustments. So we know many of you were just as antsy as we were to get the feature out there, and there is a ton of work and attention to detail that goes into the design and development of a feature. This is only the front end design part of the process, there is a lot more involved from the back end side of the development which is what ultimately makes multi-account support in Mailbird work. Want to know what we finally decided on through this lengthy process? Give Mailbird a try, now with multi-account support and see how it all works.

Another great thing from this launch is the fact that you all have been so engaged in telling us what you think and asking questions and making really great suggestions. One recurring request we realized is the zoom functionality, especially on newer high DPI machines like Windows 8 operating systems. Did you know that you can zoom by selecting an email message and hitting CTRL + or – ? We also updated the zoom feature in the Mailbird options menu to adjust to your computers DPI setting.

Regular size text on Windows 8
Zoomed in text enlarged using CTRL +

Thanks to your bug reporting in both the beta and the alpha we’ve been able to make 24 changes that we are currently testing in the the alpha version of Mailbird.

Latest Changes & Fixes Mailbird Alpha Version 1.5.5.0

What is next now that multi-account is released? We are working with people around the world in translating Mailbird by localizing with multi-language support. Also, we’ve heard from a lot of users who want to install Mailbird on their computers at work or in the office but are unable to because their network runs on a proxy server. We will soon have proxy support for you. In addition to this, we will also be supporting POP3 email accounts due to an increased request for it since the IMAP launch. Finally, we will be releasing an optimized version of multi-account support that is faster and with a unified inbox experience. We are shooting to get this all done in the first quarter of 2014. Then the ultimate email productivity booster, the Mailbird Wingman will be under way. After that we’ll be working on the open API for the Mailbird Birdhouse apps.

We are very honored to have had Microsoft feature Mailbird as the startup of the day on Tuesday December 17, 2013. Additionally, Mailbird is now listed in the Windows 8 app store (English version only) where you can also rate and give your review. This is a huge milestone for us and also we want to share Mailbird with your friends and colleagues by inviting them directly from the Mailbird drop down menu in the app and selecting “Invite Friends” in order to get 25% off Mailbird Pro or Mailbird Pro free for 1 full year. Give the gift of productivity with Mailbird today.

Email that Builds Your Professional Network

Ever emailing with an important business contact that you want to build your connection with? Maybe you have a contact that you’d like to consult with on a professional level. Perhaps you are recruiting a new team member for your business. You get an email from an interested job applicant who you’d like to connect with and learn from on a professional basis. From a professional and business development stand point, email is the primary basis for how we communicate with clients, users, and potential business partners. The first contact you have with someone is likely via email.

When you email with someone who is a professional contact, your first contact with them is typically an email consisting of an introduction and a briefing. That then leads to a next step whether that is closing a business deal, acquiring a new customer or adding a valuable role to your team. So what is the next thing you do after you begin correspondence via email? Naturally, a lot of us annoyingly have to navigate away from our inbox, open up a web browser, search for the Linkedin website, visit the LinkedIn website and we then have to manually search for the name of your new professional contact.

Social networks are now such a big part of building valuable business contacts and growing your professional network, so you can also grow your business. The coolest new feature is now live in Mailbird, it’s the LinkedIn look up. You can now right click on any email contact in Mailbird and select “Look up on LinkedIn” to automatically search for that person on LinkedIn. You can now easily bring your relationship with professional contacts to the next level right from Mailbird. How awesome is that? If you haven’t tried it yet, remember to update Mailbird to the latest version, and give the LinkedIn Lookup feature a try today.

We’ve had many cool feature requests, and LinkedIn integration was one of them. We are excited to introduce this new feature in the Mailbird beta and are eagerly awaiting your feedback in the comments below. Mailbird in 2014 is bringing a heavy load of super duper productivity additions that are sure to make your life with email a whole heck of a lot better. With our beloved email client’s new LinkedIn Lookup feature, Mailbird is now an even better choice for small teams and businesses. Once we have proxy support, Mailbird is going to rock as your go to email client on Windows. You can get the best deal with the Mailbird business plan for 5+ users today when you click here [insert business pricing link] or simply visit the pricing page on our website.

Many of you requested LinkedIn integration with Mailbird. Here is the beginning of improving our integrations, optimizing email contacts management all while making life a little easier when dealing with minor tasks that mean a whole lot more when productivity and efficiency is in mind. Mailbird’s LinkedIn Lookup is now live in the beta! Have you tried it? What do you think? Tell us below.

Did you know that even before the full multi-language support release, Mailbird already had spell check support for 11 languages, 12 if you count UK English as a separate language.

I have tried a lot of email clients such as Thunderbird and many others. I got stuck with Roundcube webmail and then I read about Mailbird. It has a beautiful interface and works perfectly with IMAP. But the reason why I still use Mailbird is the conversation view which saves a lot of time searching for emails. Why I want to translate Mailbird? It’s an awesome piece of software and I want to support it.” – Lars Pech, German Translator and power user for Mailbird

We received lots of people who wanted to help the project by translating Mailbird voluntarily that was awesome. At first we thought to go with a translation service provider. Instead we thought it would be so much more valuable for us to be able to learn and engage with you, the users. Thank you for being just as pumped up as we are about Mailbird this year, and for being so willing to help make Mailbird available in your native language.

The thing you don’t realize about translation on both the website and in the software, there is a lot more stuff to translate than you would think. Every menu, tip, suggestion, name, error reporting pop-up, every field needs to be translated. The great part about having actual Mailbird users contribute to multi-language support, is that they are using the app. They know it very well and have be awesome with translating the software.

We were surprised at how responsive users were in contributing to the localization effort in Mailbird. Many of our international users offered their help without us even asking. We are so thankful for our translation heroes and Mailbird super stars. Yes we are talking about Michał Jakubowski, Konrad Rymczak, Stella Haun, Lars Pech, Tim, Mikkel Andreasen, Andrew Levchenko, Arkady Gaidarji, Héctor Solís Andrade, Daniel Maciel, José Renato, Rogério Filho, Fernando Santos, Valerio Francescangeli, Bruno Schellino, Manuel Debaux, Alain Besancon, Ruben Coolen, Anna Berlee, Leonardo Santoso, Radoslav Danev, Johan Franzén, Marius Baesu and many more who will join.

What languages will be supported in version 1 of multi-language support? We decided to make life easier for those who prefer to use an email client in their native language, and when I say “we”, I mean the eight of us working directly in building the app, plus the 36 Mailbird users who are helping us to translate Mailbird to the first 14 additional languages Mailbird will support.

  • English (source language)
  • French
  • German
  • Indonesian
  • Polish
  • Portuguese
  • Russian
  • Swedish
  • Italian
  • Danish
  • Dutch
  • Bulgarian
  • Romanian
  • Spanish
  • Turkish

It has not been an easy task, but our team is dedicated to bringing the best alternative email client on Windows to the world. First we wanted to find a web tool to be able to share every update and notify users about changes and news and thanks we found Transifex that has made this process so easy for both users and developers. They have a great deal for startups as well as great costumer support.

These heroes helped us updating the website first and then they took the time to translate the whole app. We remember Alain (French version) saying that it took him only 3 hours to do the first round, then we started getting more requests for other languages like Portuguese. We have many Brazilian users that simply love Mailbird. German, Dutch, Polish and Russian teams work extremely fast every time we update the source file too.

Third, we had to adjust Mailbird interface to make it look great in other languages; our developers took the time to recheck every window and control to make sure all the content fit perfectly no matter which language you used. We upgraded our installer everything was crystal clear from the time you download the app in your native language.

So how to try Mailbird in your native language?

  1. Open your Mailbird email client
  2. Click on the Mailbird drop down menu at the top left corner of the app window
  3. Click ‘Options’
  4. Click the ‘Advanced’ tab
  5. At the bottom of the ‘Advanced’ tab select your ‘Application language’
  6. Restart Mailbird
  7. Voila! Mailbird is now in your language of choice.

It has been very rewarding for our team to have the opportunity to work with these awesome people; some took the time to translate and some others to review. Some were really fast and effective, while others were perfectionists.  Your questions improved many other things in Mailbird as well. We know that the result may not be 100% perfect in the first version, and you may even see some not-so-critical parts still in English. Please let us know if you find any errors in translation when testing Mailbird in your language of choice.

One of our wonderful Bulgarian translators, Radoslav Danev says,

“From the days I first started using computers, emails have always been one of my main tools of communication and I always found it difficult and time consuming to constantly go through the browser every time to check if there’s a new email. I’ve used Thunderbird, the default mail client in Windows and others not so popular programs but none of them was able to grab my eye and be my main email client for very long. All this changed the day I installed Mailbird. The simplicity of the app just grabbed me. The emails were the main focus (unlike some others) and everything was lined up perfectly. I was pleasantly surprised when I found the apps – from Mailbird I was able to visit my contacts, Google Calendar, Google Drive, Evernote and other services, which further facilitated my work and saved me time. Altogether I don’t think I’ll be able to use other email client than that one. I’m sure you won’t be as well, once you try it yourself.”

Since this is the first release of multi-language support, we are dedicated to continuously improving translations in different languages. We will continue to improve and translate every single word, sentence and paragraph to make Mailbird just as professional in other languages as it is in English. We welcome more people who’d like to help translate Mailbird. This is just the beginning to making Mailbird a truly global email solution on the Windows platform. We are truly excited about the opportunities here for current  and new users, making Mailbird more and more accessible to people around the world.

Want to support Mailbird in your native language? You can register to support language translation here: http://www.getmailbird.com/donation-2/ and select “Translation Service” as the donation type. When the beta is over, as a big thank you, we are giving away Mailbird Pro free for life to our translators.

We are also very excited that Windows announced bringing metro apps to the desktop, just goes to show that the desktop is still winning and an email client is the way to go for managing workload and productivity. We are getting better and better at bringing productivity to the world, and you can read more about how we are doing that with the awesomeness of Mailbird here.

At last, from our localization project manager Caro and the rest of the Mailbird team, thanks to everybody around the world working on this feature. Thank you for all the support and for helping us make Mailbird more available for users around the world.

Speed Read to Inbox Zero

Hope you had a beautiful Easter this year with new beginnings, including a whole new way to manage your time with email. Starting today, you are going to increase your email productivity by at least 3x. Well how exactly would I do that, you might ask?

Reading emails takes too damn long.

We already spend tons of time reading, processing and sending emails. What if we could speed those basic email functions up by enabling us the ability to speed read? If you’ve been following the latest educational tech trends, speed reading with tools like Spritz and Spreeder are the latest innovation to how we consume information. Do you read emails fast enough to be successful?

One size does not fit all.

So of course there is a unique difference to how we read depending on what we are reading. For example reading a novel vs. reading an email are very different when looking at how text is visually organized and presented depending on the format. A novel has long paragraphs of on-going text, whereas an email can be both long and short. An email has headers, bullet points or numbering and text formatting. When you read an email you quickly want to get to the point, to the gist of the message context so you can process it efficiently and effectively.

A painfully long email that would take forever to read.

So we challenged our current means of information consumption and email productivity by asking, “How can we help people speed up the processing of emails?” Well of course we were enthusiasts about the latest news on speed reading, and yet we were also skeptics as to whether speed reading as an old concept was riding on a new wave of hype. So we wanted to find out if speed reading techniques improved since the 1970’s research on Rapid Serial Visual Repetition (RSVP).

Excited about bringing a new email reading experience to users, we quickly jumped to testing the current speed readers out there like Spritz and Spreeder. Our response, “Wow! This is awesome. It actually works.” We had to provide this experience for reading emails, with some added logic in how words in an email are visualized, given formatting structures like headers and breaks in emails. Speed reading also works when using Mailbird in other languages with word spacing, so the Mailbird speed reader is not limited to English.

Speed read emails at 500 WPM.

Why speed read emails?

I personally found the Mailbird Speed Reader very relevant for long emails as well as emails that I am either CC’d or BCC’d to. Why speed read? Because we have more important things to do with our time than wasting it reading long emails. Here are typical reading speed averages:

  • Third-grade students = 150 words per minute (wpm)

  • Eight grade students = 250

  • Average college student = 450

  • Average “high level exec” = 575

  • Average college professor = 675

  • Speed readers = 1,500

  • World speed reading champion = 4,700

  • Average adult: 300 wpm

I realized that I typically read emails at about 500 words per minute. When using the Mailbird Email Speed Reader, I could easily read and quickly process my emails at 800 words per minute. We want to get to the point and clear that email out of our inbox. Of course there may be specific points in an email after speed reading where you need to reply, so the In-Line Reply feature is perfect for this.

Increase your speed by at least 3x using the Mailbird Email Speed Reader. Here’s the speed reader set at 800 WPM.

At least 3x faster with email.

Use Mailbird today, and spend less time with each email that infiltrates your inbox. Mailbird’s Email Speed Reader is just another way we’re helping you and millions around the world, get better at reaching Inbox Zero each day. Try the Mailbird Email Speed Reader now and tell us what WPM (Words Per Minute) you speed read your emails at in the comments below and share this using the social buttons with your friends to see if they can beat your WPM in Mailbird.

How to use the Mailbird Email Speed Reader?

1) Install Mailbird if you are a new user. Restart or Update Mailbird from the Options menu.

2) Select an email.

3) Click the little eye glasses icon at the top right of the message.

4) Set your WPM (words per minute).

5) To exit the speed reader hit Esc or wait for it to finish before returning to normal reading.

Mailbird is the best email alternative on Windows, and now the first and only email client with a special speed reader baked-in.

Still not sure? You can read more about it on TechCrunch here and see it in action in this video called the Mailbird Email Speed Reader.

POP3 Settings

Why POP3?

IMAP (Internet Message Access Protocol) support was launched in October 2013. Since then we received an overwhelming response for POP3 (Post Office Protocol) support too. This was much to our surprise considering many new email providers are moving away from POP3, and onto IMAP, due to the performance benefits and because it’s a better fit with the way email is accessed today on multiple devices. But….that’s not all! Read through to the bottom to see what folder manipulation is all about.

What the heck is POP3?

POP3 is an abbreviation for Post Office Protocol 3. It’s the third version of a widespread method of receiving email, dating back to the 1980’s. Much like the physical version of a post office clerk, POP3 receives and holds email for an individual until they pick it up. And, much as the post office does not make copies of the mail it receives, when an individual downloads email from the server into their email program, their copy of the email on the server is removed. Most clients however, including Mailbird, has an option to leave the message on the server, either temporarily or permanently.

Outlook.com (formerly Hotmail.com) supports POP3, but recently introduced IMAP support. “One of the major issues with Microsoft’s Hotmail replacement, Outlook.com, is you could only access it on the web or, with email clients, through the POP3 or Microsoft’s EAS protocol.” – Lifehacker. A lot more devices and services use IMAP, and now so does Outlook.com. Even Windows 8 Mail no longer supports POP3.

Despite the shift, we couldn’t leave out those of you longing to use Mailbird with your POP3 email accounts. If we had a dollar for every email we received after the IMAP launch requesting POP3 support, we’d be rich. We aren’t, but we’d like to give all of you the opportunity to use Mailbird anyways and are eager to hear your response given this major update.

Many of you use both IMAP and POP3 email accounts so this will be a great addition to your email management with Mailbird. We are really happy to be able to bring on more Mailbird users that exclusively use POP3 email accounts. So for those of you who are curious about the technical side of it all, you might ask yourself “What is the difference between IMAP and POP3?”

The Technical Breakdown

Here’s the technical breakdown and relationship between POP3 and IMAP:

  1. Where IMAP keeps your email synchronized between all connected clients and web interfaces, POP3 does not. Any changes you make to your emails in one place, like marking them as read or moving them to another folder, will not be reflected in any other client connected to the same email account.

  2. POP3 treats an email account as one giant folder, so even if you moved your emails to other folders in your web interface, when accessed through POP3, it appears to the client as just residing in one big folder – the inbox.

  3. Some POP3 servers only allow one connection to a given mailbox at any one time, whereas IMAP allows for simultaneous access by multiple email clients.

  4. With most clients, emails typically download slower with POP3, due to all parts of an email being downloaded at once, whereas IMAP allows clients to retrieve individual parts of an email when needed.

  5. Depending on your client’s POP3 settings, the downloaded email is typically deleted from the server after it’s been downloaded to your client on your PC.

The Non-Technical Side of POP3

For those of you not so interested in the technical side of POP3 support in Mailbird, you might ask “What does this mean for me?” With POP3 being the next highest requested feature since launching IMAP and Multi-Account support, many of you have not been able to use Mailbird. With Mailbird’s introduction of POP3 support you can now use Mailbird to manage many more email accounts in one place. It’s like an upgraded version of Multi-Account. Some of these POP3 email accounts include:

O2

O2.uk

AT&T

NTL @ntlworld.com

BT Connect

BT Openworld

BT Internet

Orange

Orange.uk

Wanadoo UK

O2 Online Deutschland

T-Online Deutschland

1&1 (1and1)

1&1 Deutschland

Comcast

Verizon

Verizon (Yahoo hosted)

Mail.com (Has IMAP, but requires premium account)

The bonus? Folder Manipulation.

Remember a long long time ago when we publicly launched Mailbird and all you wanted was to be able to add/edit/delete folders directly from Mailbird? Folders are important in helping us organize the copious amounts of messages that flood our inbox. Before you had to manipulate folder creation directly from the web, so for Gmail you would have to add/edit/delete folders directly from Gmail on the web, then sync Mailbird with Gmail’s server. Now you can do it all directly from Mailbird! Yes, we admit this should have been there ages ago, but happy to have it out now.

To add/edit/delete folders go to the Mailbird menu in the main window in the top left > Options > Folders tab then…

Click the  + to add a new folder to the selected email account.

Click the – to remove a selected folder.

Click the … to edit a selected folder.

The “Mark all as Read” tool

$

We’ve added a super handy button to the Mailbird interface since bringing POP3 support into the picture.

What is awesome is that now you can manage even more email accounts from one place in Mailbird. When you first sync a POP3 email account with Mailbird, all your emails will populate your inbox for that account. Most likely, you’ve already read those newly downloaded POP3 emails and you just need to clean the old batch of emails from your inbox.

You can now mark all of those emails as “read” in one go, and start with a fresh clean slate with your newly added POP3 accounts in Mailbird.

Alternately, that same “Mark all as read button” unlocks an “Empty folder” option when you are in your Spam or Trash folders.

Before you could still accomplish deleting all Spam and Trash emails by using Ctrl or Shift to multi-select emails and moving to Trash or Spam. Now, it’s just a little easier.

How To Improve Your Email Productivity

$
0

Workplace productivity is a fundamental cause of concern for many corporations. According to a recent study carried out by research firm Basex; workplace interruptions cost US businesses over $650 billion a year. A primary cause of these interruptions, and subsequent lack of workplace productivity, is inadequate organisation of emails. In 2010, a study revealed that corporate users received and sent an average of 110 emails a day, and moreover, a substantial 52% of US workers agree with the statement that; “The quality of my work suffers at times because I can’t sort through the information that I need quickly enough”. In an effort to remedy this dilemma, listed below are several processes that you can implement within your daily routine to significantly improve your email organisation. By following these measures, employees can alleviate their email-related stress, and corporations can profit from improved workplace productivity.

Brevity is key

If you allocate specific and concise headlines for each of your emails, you will be able to locate them more rapidly when needed. Moreover, these specific subject headings will clearly convey your intentions to email recipients, which in turn will enable them to understand your aims and reply more quickly.

As Steve Jobs famously declared; “the fact is people don’t read anymore”. The likelihood is that your email recipients will simply skim read your email, so you need to ensure you have clearly outlined your purpose and objectives within the first two lines of your email. Try using bullet points or numbered formats which will capture your colleagues’ attention and permit them to quickly ascertain your intentions and respond accordingly.

Above all, if it takes you longer to write an email than it would to converse with your client or colleague, then call them instead. This will help you resolve your queries more quickly and more productively.

Allocate yourself a time of the day for checking email

Sporadically checking email throughout the day is often an inefficient use of time. To remedy this, allocate yourself a specific time of day for checking your email. This will enable you to focus on other important tasks throughout the day, as well as encouraging you to deal with your emails rapidly and efficiently.

A research study carried out by GetResponse in 2010 analyzed 21 million US email accounts to determine the best engagement time for sending emails. The study revealed that sending emails during readers’ top engagement times of 8 a.m. – 10 a.m. and 3 p.m. – 4 p.m. increased their average open and response rates by 6%. A separate study by Pure360 supported these findings, demonstrating that between the hours of 2 p.m. and 4 p.m. , “consumers remain focused on work” and respond to their emails more efficiently.

A great way to ensure you stick to these allocated times is to turn off all notification sounds and alerts for the arrival of new emails. This will prevent you from being distracted by incoming emails and enable you to streamline your email processing time.

If executed correctly, this process can encourage better interaction with both your colleagues and also your client base. IT support consultants Premier Choice Internet enthuse about the possibilities of these efficient email strategies, stating how they can permit you to glean more exclusive “interaction with your existing customers base, those which already trust you, have bought from you and are most likely to buy from you in the future”. By organising your email system so that you can interact with clients and colleagues quickly and comprehensively, you can establish trust and improve both your individual professional credibility as well as the overall reputation of your company.

Organise your email folders

Create folders for all areas of your work and filter emails to their relevant categories. By assigning folders for particular projects, you will be able to access important information easily and rapidly, thereby facilitating a more streamlined email process. Currently, there exist several online email productivity tools which permit users to establish and sustain a comprehensive sorting process for their emails. Mailbird are currently developing Wingman; a function which endeavours to enable users to track “your emailing speed and reports it back to you, gives you personalized advice to increase your productivity based on how you manage email”.

This filtration process is also highly useful for dealing with spam emails. Over 71% of worldwide email traffic is spam-related, so by directing all of your spam to a particular folder will enable you to avoid this interactive inconvenience and focus primarily upon important work-related emails.

Changing Your Avatar

To change your avatar or email account profile picture go to the top left Mailbird menu in the main window > Options > Accounts > Double click the account.

A new window pops up where you can change the account icon.

If you specifically want to use the avatar or profile picture associated with that account, select the last icon option that shows your account avatar.

To change the avatar you need to either use Facebook Connect so the account uses your Facebook profile pic as the account image or create an avatar on gravatar.com for your specific email account. Once you create an avatar on gravatar.com and sync with your email account in Mailbird it will update and appear under the icons options as seen above.
